Organization: International Organization for Migration Unit: Yemen Stabilization Initiative (YSI) Title of Position: Field-Support Admin/Finance Assistant Duty Post: Sana’a, with at least 30% of the time in the field Classification: Consultancy (MPH) Duration: 3 months (renewable) Salary: Based upon qualification and experience Worldwide IOM has over 400 offices and 5,600 staff focused on assisting migrants, governments and other stakeholders to address migration issues. IOM opened its mission in Sana’a in April 2007 and currently operates two field offices in the country. The Field-Support Admin/Finance Assistant will support and supervise the Admin/Finance departments in the YSI sub-offices (Sana’a, Aden, Hajja, Amran, Taiz, Aljawf, Marib, Abyan and Dhale) as well as provide support to the YSI Finance Officer. Specifically, he will: 1. Maintain properly accounting files & updated organized filing system. Scrutinize of bills/claims/supporting documents. 2. Preparation of payments/receipt and posting in ledger. Arranging, maintaining and all the vouchers in the relevant files/folders. 3. Preparation of Cash ledger in excel sheet; preparation of Cash Certificate. 4. Organize in coordination with the YSI Finance Officer the Program Manager, a com-prehensive Administration System in YSI Sub-offices (filing, procedures, etc.) 5. Preparation of periodic financial reports of sub-offices. 6. Train the Admin/Finance Assistant that will be assigned to the sub-offices and moni-tor their work 7. Monitor all financial reports (monthly double-entry reports, etc.) coming from the sub-offices. 8. Make sure that all vouchers in the field have the required supportive documents (Purchase requests, etc). 9. Maintain petty cash on replenishment basis of YSI Main & sub offices. 10. Responsible for forwarding advances to sub-offices & receiving petty cash reports & maintain all finance records of sub offices. 11. Follow up of pending payments and receivables in main & sub offices. 12. Field offices visit for monitoring of Admin & Finance matters; Assist in the finan-cial/Admin issues at the Sub-offices level. 13. Other activities to be specified by YSI Finance Officer. Required Qualification and competencies • Advance degree in IT and/or Administration and Finance, with at least two years of professional experience. • High Level of computer literacy is required, particularly in IOM’s computerized ac-counting system. Good knowledge of MS Office, specifically Excel. • Good communication skills, personal commitment, efficiency, flexibility, to work ef-fectively and harmoniously with colleagues from varied cultural and professional backgrounds. • Demonstrated ability to maintain accuracy and confidentiality in performing respon-sibilities; • Ability to pay close attention to details and work with minimal supervision; • Must be able to work under pressure and should be willing to work overtime and on weekends when required; Other desirable skills • Experience in working in an international organization or multicultural environment; Languages • Through the knowledge of English and Arabic; Application Process Interested candidates are invited to send their resumes in English (must indicate clearly the position applied for in the subject line) via email to
